Student’s Required Process for Using Memory Aid Accommodation

  • Once a student has been approved for a memory aid by DSS, the accommodation will be included on the student’s accommodation letter for the course.
  • It is the student’s responsibility to meet with the instructor to discuss what content that may be allowable on a cue sheet for the particular exam - the student must consult with the course instructor to review the content of the memory aid.
  • For each exam, the student may prepare a cue sheet that is no larger than a single sided
  • 8.5” x 11” page, written by hand or using a standard-sized font (11-12). A double-sided index card (5x8) may be used instead. Please note: A student with a visual impairment may need a larger cue sheet with the same number of characters in a larger font.
  • The student must provide the cue sheet to the instructor for editing and final approval at least 3 business days prior to the test/exam date.
  • Instructor reviews the cue sheet and removes or redacts information that is not allowable, according to the criteria discussed above. If approved, the instructor returns the edited/approved cue sheet to the student at least one day prior to the exam and instructor must sign the cue sheet to show the instructor has approved this – cue sheets that are not signed by the instructor will not be accepted by DSS during the test if student is testing at the DSS testing office.
  • Once the student completes the exam, both the test and the cue sheet are to be turned into DSS to be provided to the instructor if student is testing at the DSS testing office.

Overall, students are responsible for learning course material, for discerning which material may require cues or triggers, for developing the cues that will appear on the aid, and for securing the instructor’s approval.
